The All-Ukrainian Charitable Organization “CONVICTUS UKRAINE” is announcing a job opening for a Financial Reporting Clerk.
The All-Ukrainian Charitable Organization “Convictus Ukraine” is a Ukrainian nongovernmental organization that has been working for over 19 years to expand people’s access to quality medical and social services and comprehensive support. We implement programs in the areas of public health, psychosocial and humanitarian aid, and comprehensive programs for women and girls aimed at preventing and combating gender-based violence, as well as economic empowerment and capacity building. We work in partnership with international donors, government agencies, and civil society organizations, ensuring high standards of transparency, accountability, and the effective use of resources.
The implementation of international technical and humanitarian aid projects involves a significant volume of financial documentation and reporting documents, which must be properly prepared, organized, digitized, filed, and stored in accordance with donor requirements.
Therefore, we are looking for a meticulous, organized, and responsible person who will provide documentary support for financial reporting and ensure the proper maintenance of the Organization’s paper and electronic project archives.
We expect the candidate to have:
· experience working with documentation, record-keeping, archiving, and source financial or other documents;
· proficiency with computers, Microsoft Office, and Google Workspace;
· practical skills in working with electronic documents, PDF files, scanning, and organizing electronic folders;
· the ability to handle a large volume of documents and maintain a clear and consistent filing system;
· a high level of attention to detail, accuracy, and organization;
· responsibility and the ability to adhere to established procedures and deadlines;
· the ability to quickly locate necessary documents in paper and electronic archives;
· willingness to work with documents containing confidential information.
Experience working with documentation related to international technical or humanitarian aid projects, as well as financial or accounting documents, is a plus but not required.
Main Responsibilities:
· Preparing documents for financial reporting — printing financial documents and reporting documents, affixing stamps and other marks as required by donors, and preparing documents for signing.
· Document compilation—assembling complete sets of documents for financial reporting according to projects, reporting periods, budget line items, and expense ledgers.
· Completeness checks—verifying the presence of documents according to established lists and ledgers, identifying missing documents, and informing responsible staff of the need to supplement them.
· Compiling paper reporting packages — organizing, sorting, and compiling documents in the sequence required for financial reporting and subsequent storage.
· Digitizing documentation — scanning documents, verifying the quality and completeness of electronic copies, ensuring they are properly named, and organizing them within a defined structure of electronic folders.
· Compiling electronic reporting packages—compiling electronic copies of documents in accordance with financial reports, expense ledgers, and established donor requirements.
· Maintaining paper and electronic archives—organizing, storing, and keeping documentation up to date by project, reporting period, and budget line item.
· Preparing documentation for audits — searching for, selecting, and compiling documents in response to requests from the finance team, the organization’s leadership, and donors, as well as during audits.
· Ensuring proper storage of documentation — adhering to established rules for handling documents, as well as requirements regarding confidentiality and data security.
